Member Management

Complete Guide to Managing Members

This guide covers all aspects of member management in PulseRoster.


Viewing Members

Navigate to Members to see all community members.

Search and Filter Options

Feature Description
Search Find by name or Discord username
Status Filter Active, Inactive, Suspended, Terminated, On LOA
Sort Order by various criteria

Adding a New Member

  1. Click Add Member
  2. Enter their details:
  3. Discord ID or search by Discord username
  4. Display Name (optional override)
  5. Optionally assign them to a department immediately
  6. Click Create Member

Member Profile

Click on any member to view their full profile.

Profile Information

Section Contents
Identity Discord avatar, username, display name
Status Active, On LOA, Suspended, etc.
Join Date When they joined the community
Community Roles Assigned community roles

Department Assignments

  • Primary department with current rank
  • Secondary departments (if applicable)
  • Assignment status and callsign

Editing a Member

From the member profile, click Edit to modify:

  • Display name
  • Status (Active, Inactive, Suspended, Terminated)
  • Custom field values

Department Assignments

Primary Department

Every member should have one primary department assignment. This is their "main" role.

  1. Go to member profile > Assign to Department
  2. Select the department
  3. Choose a rank
  4. Set callsign/badge number (optional)
  5. Check Primary Assignment
  6. Click Save

Secondary Departments

Members can hold positions in multiple departments:

  1. Follow the same steps as primary assignment
  2. Leave Primary Assignment unchecked
  3. The member will appear in both department rosters

Transferring Departments

To transfer a member between departments:

  1. Remove their current assignment
  2. Create a new assignment in the target department

Member Notes

Staff can add private notes to member profiles for documentation purposes.

Adding a Note

  1. Go to member profile > Notes
  2. Click Add Note
  3. Enter your note content
  4. Click Save

Note Visibility

Notes are only visible to staff members and are timestamped with the author.


Member Status

Status Description Access
Active Normal active member Full access
On LOA Currently on approved leave Limited access
Inactive Marked as inactive Preserved history
Suspended Temporarily removed from duty No access
Terminated Removed from community No access

Changing Status

  1. Go to member profile
  2. Click Edit
  3. Select new status
  4. Save changes

Bulk Import

Import multiple members at once via CSV.

Accessing Bulk Import

Go to Settings > Import

Import Process

  1. Prepare your CSV file
  2. Upload or paste the data
  3. Preview and validate
  4. Configure target department and rank
  5. Execute import
